Rule 1: The "Original Document" Rule

This is the #1 reason for rejection.

HM Passport Office will never accept a photocopy or a digital scan of a Deed Poll. They require the original legal document.

They need to see the "wet ink" where you signed the paper, and the raised texture of the official seal. If you send a photocopy, your application will be rejected, and you will lose your place in the queue.

Warning: HMPO will keep your Deed Poll while they process your passport (which can take 10 weeks). You won't be able to use it for anything else during this time unless you order Duplicate Originals from us.


Rule 2: "Evidence of Name in Use"

If your Deed Poll was signed very recently (e.g., within the last few weeks), the Passport Office may ask for extra proof. They want to verify that you aren't just changing your name on paper, but are actually using it in the real world.

They may ask you to send one or two additional documents in your new name, such as:

  • A driving licence.
  • A bank statement.
  • A letter from your employer or HMRC.
  • A utility bill (gas/water/electric).

Rule 3: The "One Name" Policy (Dual Nationals)

If you hold a passport from another country (Dual Citizenship), listen carefully.

The UK has a "One Name Policy." They will not issue you a British Passport in a new name if your foreign passport is still in your old name.

You must change your non-UK passport first. Once you have done that, you can send your Deed Poll and your updated foreign passport to HMPO to update your British one.
