How to Use Your Own Deed Poll After You Receive It (Step-by-Step)

How to Use Your Own Deed Poll After You Receive It

Congratulations! You have received your Deed Poll in the post. You are now holding the key to your new identity.

But looking at this formal legal document can be a little intimidating. You might be wondering: "Do I just sign it?" or "Who do I send it to first?"

Don't worry. Using your Deed Poll is actually very simple. Here is your step-by-step guide to turning that piece of paper into a brand new legal identity.

Step 1: "Execute" the Document (Sign & Witness)

Right now, your Deed Poll is just a proposed contract. To make it valid law, you must execute it.

You will need:

  • A black pen.
  • An independent witness (Friend, neighbour, or colleague).
  • A flat table.

The Signing Process:

  1. Sign your OLD name: Sign using your former signature (if you have one) where indicated.
  2. Sign your NEW name: Sign using your new signature. This is your first official act as the "new you."
  3. Witness signs: Your witness must watch you sign, then add their signature, name, address, and occupation.

Crucial Rule: Do not date the document until the day you actually sign it. The date you write on the document is the legal date your name changes.

Step 2: The "Golden" Order of Notification

You cannot simply photocopy your Deed Poll and post it to everyone at once. Most organisations require you to send the original document (not a copy), and they often want to see photo ID in the new name first.

To avoid getting stuck, follow this specific order:

Priority 1: Your Photo ID

You should update your Passport and Driving Licence first. These are your "Golden Tickets." Once these are updated, every other organisation (banks, etc.) will accept your name change without question.

  • Passport: Apply for a renewal online. You will need to post your old passport and your original Deed Poll to HMPO.
  • Driving Licence: Fill in specific form D1 and post it with your original Deed Poll to the DVLA.

Top Tip: This is why we recommend ordering Duplicate Originals. If you have 3 copies, you can send one to the Passport Office, one to the DVLA, and keep one for the Bank—all in the same week.

Step 3: The Financials (Banks & Mortgages)

Once your new ID arrives (or if you have a spare original Deed Poll), go to your bank.

Most high-street banks require you to visit a branch in person. Take:

  • Your Original Deed Poll.
  • Your new Passport/Driving Licence (or your old one if that's all you have, but they may ask for more proof).

They will scan your Deed Poll and update your cards and statements immediately.

Step 4: The Admin Sweep

Now that your main ID and money are sorted, you can update everyone else. This is often easier and can frequently be done online or via email.

HMRCUpdate online via Government Gateway.
Council TaxEmail or Online Form.
NHS (GP)Show receptionist at next visit.
UtilitiesPhone call (rarely ask for proof).

Common Questions

"Do I need to scan it?"

Yes! As soon as you sign it, take a high-quality scan or photo of your Deed Poll. While you can't use a scan for your passport, it is very useful for emailing to HR departments, utility companies, and landlords.

"What if I lose it?"

If you lose your only original Deed Poll before updating your passport, you are stuck. You will have to buy a new one and execute it again. This is why keeping it safe (or buying spares) is vital.
